At ctrl., we respect your privacy and are committed to protecting the personal information you share with us. This policy outlines what we collect, how we use it, and how we keep it safe.

By using our website, booking a session, enrolling in a course, or participating in our services, you agree to the terms below.

1. What We Collect

We may collect the following personal information:

  • Name, email address, and phone number
  • Emirates ID and/or passport copy (for official records or verification)
  • Session dates, attendance records, and coaching notes
  • Booking details you give us when you schedule a call, such as your time zone and anything you tell us about what you would like to work on
  • Online course account details, your course progress, and your answers to course reflection questions and quizzes
  • Your first name and email address if you sign up for our free guide, together with the date you signed up and confirmed
  • Payment confirmations and transaction references
  • Intake forms, questionnaires, or programme submissions

Payment card details are handled securely by our payment provider, Stripe. ctrl. does not directly access or store your full card details.

2. How We Use Your Information

We use your information to:

  • Schedule and deliver coaching, programme and online course services
  • Give you access to courses you have purchased and save your progress
  • Send service emails, such as booking confirmations, course access details and account emails
  • Send you our free guide and, if you agreed when signing up, occasional emails from Gavin. Every email includes a way to unsubscribe, or you can email hello@takectrl.ae at any time
  • Maintain accurate and compliant records
  • Track progress and personalise support
  • Communicate important service-related updates
  • Improve the structure and delivery of our services

We do not use your data for unsolicited marketing without explicit consent.

3. Session Notes & Client Records

  • Session notes are recorded to support your progress and ensure continuity.
  • Where practical and possible, notes are anonymised using a client reference number, not your name.
  • Your personal details and your reference number are stored separately on different secure systems to reduce risk.
  • Only your assigned coach and authorised ctrl. team members can access this information.

4. Session Recordings

All online sessions are recorded for the purposes of:

  • Service quality improvement
  • Safeguarding
  • Internal training and review

These recordings are stored securely and only accessible to approved coaches and authorised ctrl. staff under confidentiality agreements.

5. Confidentiality & Disclosure

All information shared with ctrl. is treated as confidential. It may be shared internally only when necessary for service delivery, including:

  • With your assigned coach (who may not be directly employed by ctrl. but operates under a strict confidentiality agreement)
  • With internal team members for support and service development

ctrl. will never share your personal information with external third parties for sales, advertising, or unrelated purposes.

However, we reserve the right to disclose information:

  • If required to do so by law or legal authority
  • If we believe there is a genuine safeguarding concern or risk of harm to you or others

In such cases, we may notify appropriate authorities and, where appropriate, inform you after the fact.

6. Data Storage & Third-Party Platforms

Our website, online course platform, booking system and email sign-up system run on our own server, hosted by Hetzner Online GmbH in Finland (EU). We also use trusted third-party providers to deliver our services:

  • Google Workspace (email, file storage, forms, calendar)
  • Google Meet (video calls and recordings)
  • Stripe (secure payment processing)
  • Bunny.net (streaming our course videos)
  • Google Fonts (displaying text on our website)
  • WhatsApp (only if you choose to contact us there)

Each provider only receives the information it needs to perform its service. While we take reasonable steps to protect your data, ctrl. holds no liability for any breach, loss, or unauthorised access occurring through these external providers. Your continued use of our services acknowledges and accepts this risk.

7. Cookies & Analytics

Our website does not use advertising or tracking cookies. We use Umami, a privacy-friendly analytics tool that we host ourselves on our own server, to count visits, see which pages are used and measure bookings and course enrolments. Umami does not use cookies, does not collect personal information and does not track you across other websites; the data is used only in aggregate to improve our website.

Our online course platform and booking system use essential cookies only, to keep you signed in and to complete your booking. These cannot be switched off without stopping those services from working.

When you watch course videos or load our web pages, our providers (such as Bunny.net and Google Fonts) receive basic technical information, for example your IP address and browser type, in order to deliver the content to you.

8. Where Your Data Is Stored

Your data is stored on our server in the European Union. Some of our providers, such as Google and Stripe, may process data in other countries, including the United States, under their own data protection safeguards.

9. Your Rights

You have the right to:

  • Request access to the personal data we hold about you
  • Ask for corrections or updates to your information
  • Request deletion of your data, where legally permitted
